Title: How Do You Organise Your Triad Emails?
Post by: Jane on March 15, 2009, 07:46:25 PM
Very important issue for an obsessive organiser.  :geek:

So, after they arrive in your inbox, what happens to them from there?

Nothing.... (just kidding)  I generally delete a post after I've red it. If it's happening in EFH, I move to EFH-Report- folder. If it includes my own sona, I save it for some time.

The only organisation I do with my Triad emails is to 'star' currently active coposts so I can occasionally check the list of them and see if any have got lost :). I use GMail so the metadata at the top of the post / in the subject line is generally enough for finding any combination of actual list posts.

I have a folder for running coposts (delete as they are finished)
One for unread stories
One for stories that I've read and want to hold onto (either for reference or for crayons)
One for completed stories that I have co-written

I star active coposts, and I've got it set up so anything from the list is labeled "Triad". Each of my personas has their own folder, and I move posts there after they go to the list. I try to keep a folder for finished but waiting posts, but I've fallen behind on that. After I've read a post, I archive them. Gmail has such massive storage I don't worry about running out of space.

A picture!

Triad mailing list stuff goes into Reading - yes 32 unread posts!

Everything else addressed to my Triad address (99% coposts) goes in the Inbox and is replied to from there.  The email and my outgoing reply are then moved to the appropriate coposter folder (or MultiWriters).

When the copost is complete I move all the emails and replies to the Completed folder and star the last copy (starred and tagged as unread if I won't be posting the final copy).

Posts is for completed and post-ready copies just waiting for the right time to go.  My Posts are those posts from the mailing list that I was involved in for the current calendar month (my posts from previous months are filed in sub-folders by Pern month dates).

DolphinHall is for writing the L1 report and is emptied as soon as I've written the report.

Drafts is where I keep my personal timeline (for my characters) and it seems a few other bits and pieces and Templates is where I keep a blank email for each of my PCs.  I star the email when I post for them each month.  (Reset on the 1st of the new month) and with three entries (tagged as unread until they're starred) for the L1 (report and two coposts), two for the L2 (copost and solo), and one for the L4 (one post).

I love to play with boxes and folders! :laughing5:

Why do I have 86 emails in a folder?  I'm either loved or I have a lot of coposts waiting to get replied to :D

I keep coposts that need replied to in my inbox.  I use a save folder for completed posts that still need to be sent out.  I have a Triad folder where all posts go (I have 5176 in there going all the way back to 2004- and when I used to Digest everything so there's way more posts than just that).  I also keep my Sent folder full so that if things go missing I can try and hunt them down.

I thought that I was fairly organized until I saw Jane's.
I have separate folders for areas: DCW/DH/HH/EFH, DFW/AHH/VH, RBW/GVH/SH, SWE. These are for the posts that have been sent to the Triad mailing list and remain there until they are timelined. After that, they go to "Unread" unless I have read them while timelining or they are my own, and then they go to "Read" or "My Posts."

I also have an "ongoing copost" folder with emails that I have already replied to.
In addition, each of my mentees has a folder in my "mentoring" file. When I release someone from mentoring, the entire mentee folder gets moved to the "released" file.
Other folders I use are "Crayons" (posts I want to remember), "My Personas," "Welcome" (notifications of new personas that have been approved), and "Miscellaneous Letters."

I should probably mention that I use Thunderbird for only my Triad mail account.

Hmm. I seem to be pretty loosely organized compared to some of you. I have a folder for each of my personas where I deposit finished posts sent to the Mailing List for future reference and later transfer to my computer, and another folder for unfinished posts that I may want to cannibalize for ideas later. I keep any currently active posts in my inbox and delete the previous version when the new one comes in. I also leave the Digests there, and delete them after reading, although if I see a story I like for Crayons I have a folder in the drafts section where I keep a running list of titles to sort through later. Since I only use the account for Triad and I don't have to sort regular mail from the junk, it seems to work fairly well for me.
